Schedule: 6:30am - 3:30pm, Monday - Friday and occasional Weekends

Pay: $20-25/hr depending on experience

 

The scheduler provides support services by scheduling installation jobs and coordinating administrative activities so that work can begin on schedule with minimal problems and be completed within expected timeframes. Maintains records and data on work performed and supports good customer relations by responding to customer questions.

Responsibilities

  • Receives calls from customers or builders and coordinates service or installation schedules.
  • Prepares appropriate documentation and entry to activate and place scheduled work into system.
  • Prepares materials lists for scheduled work and coordinates orders/delivery with appropriate department or vendor.
  • Communicates with customers and departmental personnel via telephone, email, and/or written correspondence to answer inquiries and provide information. Works to resolve customer issues/complaints.
  • Prepares employee schedules according to workload.
  • Prepares regular reporting of jobs in progress, backlog revenue and other departmental data.
  • May provide quotes on certain types of jobs over the telephone and schedule sales calls.
  • May invoice completed work, process lien forms or releases and call for payments when bills are overdue.
  • Build packets to ensure all proper paperwork is included for the days install.
  • Build pull-sheets by filling out appropriate information needed for a correct installation.
  • Assign calls to install technicians including go back or Red Tag correction.
  • Confirm installations by Contacting customer to confirm their installation, go back or Red Tag correction BEFORE the installers proceed to their job.
  • Schedule safety topic completions and send staff reminders.
  • Schedule training completions.
  • Schedule management appointments for escalated issues.
  • Close out previous days jobs in a timely fashion to ensure accounting is current, payroll is current, with no outstanding balances.
  • Order parts and pieces for go backs via warehouse.
  • Ensuring ALL charge backs are monitored, documented and enforced.
  • Monitor and address all issue on Help Desk so we do NOT miss any customer interaction and avoid escalations.
  • Other duties as assigned.

Qualifications

  • HS diploma, or GED equivalent, is required.
  • Related experience and/or advanced training or any equivalent combination of education and experience may be substituted.
  • Previous experience in HVAC industry and customer service is desired.
  • Basic computer skills and strong communication/interpersonal skills are required.
  • Previous experience in HVAC service or HVAC dispatching is desired.
  • An understanding of air conditioning/heating and/or plumbing are preferred.
